MNH Advisory Services Pty Ltd (“MNH”) ABN 63 612 729 478 is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information. Protecting your privacy and maintaining confidentiality in relation to your personal information is something we take very seriously.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The NPPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?
Personal Information is information or an opinion that identifies an individual. Examples of Personal Information collected may include (but is not limited to), names, addresses, email addresses, birth date, bank account details, superannuation details, taxation details, accounting, and financial information.
This Personal Information is obtained in many ways including:
- Communications sent from you including mail, email, fax or other means
- Documentation, hard copy or digital media provided by you
- During personal conversations held with you
- When you provide us direct access to your electronic records or systems
- Forms completed by you and returned to our office
- From 3rd parties that you have authorised us to so work with
- When you visit our Website
- When you connect with us using Social Media
We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.
When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.
Sensitive Information
Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
How We Use Your Personal Information
Personal information will be used by us for the primary purpose for which it was obtained including:
- For a secondary purpose that is directly related to the primary purpose
- With your consent, or where required or authorised by law
- To contact and communicate with you
- To verify your identity
- To provide you with agreed services
- To assist you with support relating to the agreed services or otherwise
- To carry out marketing initiatives relating to services provided by MNH
- To comply with relevant laws or regulations
Third Parties
Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case, we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.
In order to provide quality, efficient and affordable services to you, it is possible that your personal information may be viewed by third parties with whom MNH has a vested relationship such as providers of auditing and bookkeeping services, audit insurance providers, accounting contractors, actuarial certificate providers, providers of financial services, IT contractors and providers of software support. We may use Cloud Based Software during the analysis of your data and during the provision of some services which may result in your data being stored on their servers which may be located overseas.
If at any time MNH is required by law to release your personal information, we must co-operate fully.
Once the provision of services to you is complete your personal information, both electronic and otherwise may be retained by MNH for a period of seven years or more in the event that future instruction for the provision of additional or ongoing services may be forthcoming.
Disclosure of Personal Information
Your Personal Information may be disclosed in a number of circumstances including the following:
- Third parties where you consent to the use or disclosure; and
- Where required or authorised by law.
Security of Personal Information
Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.
When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.
We incorporate a number of systems and procedures to ensure your personal information remains secure including:
- Personal information stored in secure electronic databases which we use a number of security measures to protect this information
- Agreement by our staff regarding client work and related confidentiality when they commencement employment
- The use of a client portal with secure links to transfer sensitive information between ourselves, clients and other external parties
- Passwords and various access levels on databases to limit access and protect electronic information
- The use of firewalls, encryption, passwords and digital certificates
- Using 2 Factor Authentication wherever possible but also online with software such as Xero, MYOB and Class Super
- Following protocols set by the Office of the Australian Information Commissioner’s (OAIC) Notifiable Data Breach (NDR) scheme
- Training of all our staff regarding protection of client personal information in keeping with the Privacy Act
- Security shredding bin for disposal of client records and source documentation.
Access to your Personal Information
You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.
MNH will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.
In order to protect your Personal Information, we may require identification from you before releasing the requested information.
Maintaining the Quality of your Personal Information
It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.

If you access our website, we may collect additional information about you in the form of your IP address or domain name.
Our website uses ‘Cookies’. Cookies are small text files placed on your computer when you first visit the site and are used on some parts of our website.
